VRBO Damage Claim: Deposit, Property Damage Protection & the 14-Day Window

Updated July 25, 2026 · ClaimPack host guides

VRBO handles guest damage differently depending on how a listing is set up, and that distinction matters more than the platform's own help pages make clear. Before you file anything, confirm which of VRBO's three protection paths applies to your reservation — the wrong one wastes the 14-day window you have to act.

The three ways VRBO handles guest damage

Check your listing's reservation details to see which applies before you start — the steps below describe the refundable-deposit claim, the path most self-managed hosts use.

The 14-day filing window

VRBO expects a damage claim within 14 days of the guest's checkout. Miss it and VRBO automatically refunds the full deposit to the guest — there's no late-filing exception. The discipline is identical to Airbnb's 14-day window and Booking.com's Damage Programme: document before you clean or repair, and file as soon as your evidence is ready rather than waiting for day 14.

You only get one shot

VRBO does not allow a damage deposit claim to be split into two partial amounts — you file once, for the full amount you're claiming, and that closes the deposit. Total every cost first: repairs, replacement, and any extra cleaning tied to the specific incident, not routine turnover cleaning, which VRBO's deposit claims don't cover.

How to file a refundable-deposit claim

  1. Log into your VRBO account and open the reservation tied to the guest and the incident.
  2. Contact the guest first. VRBO recommends discussing the damage, the amount, and your evidence with the guest before filing.
  3. Enter the damage amount you're claiming — it can't exceed the deposit amount on the reservation.
  4. Enter the damage description. This text is shared with the guest, so keep it factual, not accusatory.
  5. Confirm the claim. Most claims are processed quickly, with funds typically arriving in 3–7 business days.

A Property Damage Protection claim instead routes to Generali/CSA's own claim process, which may ask for the same evidence but runs on the insurer's timeline rather than your dashboard. Treat VRBO's own Help Center as the source of truth for current steps and figures.

The evidence a VRBO claim needs

Whichever path applies, the underlying evidence standard doesn't change: photos taken before anything is cleaned or moved, proof the item was intact before this specific stay, a dated repair estimate or invoice, and any guest messages relevant to the incident. Our damage evidence checklist is written platform-neutral and applies directly to a VRBO claim. For the narrative itself, our claim narrative template maps onto VRBO's description field — swap in your VRBO reservation details where the template says [PLATFORM].

Common mistakes

A guest can also dispute the charge directly from their notification email, which sends the case back to VRBO for review — see our guide to guest disputes and chargebacks for what that review looks for and how it differs from a card-network chargeback.

ClaimPack doesn't file the VRBO claim for you and can't influence Generali/CSA's or VRBO's decision — no tool can guarantee reimbursement. It turns your photos, receipts, estimates, and guest messages into one indexed, factual packet in about 10 minutes, built to the same evidence standard this guide describes, whether you're filing on VRBO, Airbnb, or Booking.com.

Questions, answered

Does VRBO have a security deposit like Airbnb?

It can, but it works differently from Airbnb. Many VRBO listings use a refundable damage deposit that you set yourself and claim against directly. Others rely on Property Damage Protection (PDP), optional insurance the guest can purchase through Generali/CSA, or no deposit at all. Check your listing's settings to see which applies before you file.

What's the difference between the VRBO deposit and Property Damage Protection?

The refundable deposit is money you hold or authorize on the guest's card and claim against directly through your VRBO dashboard. Property Damage Protection is a separate optional insurance product the guest buys at booking; a claim against it is submitted to Generali/CSA rather than deducted from a deposit you control.

Can I file a VRBO damage claim more than once for the same stay?

No. VRBO states a damage deposit claim can only be filed once per reservation and cannot be split into two partial amounts, so gather every cost — repairs, replacement, extra cleaning — before you submit.
